Working Together - IMOM, the Veterinarian and the Caretaker

To help a pet in need

IMOM would like for veterinarians to be familiar with our organization and our financial aid program. Whether you have already partnered with IMOM to help a pet or not, we are hopeful that this overall view will give you more insight into what happens behind the scenes and how it all comes together.

  • What IMOM needs from the veterinarian
  1. We need a complete, detailed estimate for all costs. If there are going to be costs for any follow up care we need that to be included. Also included should be the cost for spay or neuter if the pet is intact.

  2. A complete Veterinarian's Pet Information Form (VPIF). The VPIF gives our committee a lot of the information we need when reviewing an application for financial aid. In addition, it tells IMOM if you are willing to work with our payment policies.

The VPIF is a PDF document and can be downloaded here. There is also a Letter of Introduction and an explanation of our payment policies for your files.

  • Real Life threatening emergencies (LTE)
IMOM feels like the veterinarian is the best one to determine the urgency of a pet's need for care. We understand that there are times when you must take action quickly. We will always do our very best to help in these situations. It is unlikely we would have all funds needed but perhaps we can offer enough so that you can move forward and make other arrangements for any balance.

  • Fundraising cases
More often than not, we won't have a large amount of funds readily available and it is against our policy to pledge funds that we don't have. If we have any time at all to try and raise funds, we're usually pretty successful - especially when the owner is working closely with their case worker. However there is never any guarantee.

Our fundraising is accomplished through various social networking systems, including a mailing list of people who have asked to always be advised when we have a new pet in need (PIN) IMOM's community forum is where our supporters and applicants can interact. We have found that to be an excellent way to raise funds.

Once treatment has been provided fundraising will stop.
  • Letter of Guarantee
When IMOM approves an application the veterinarian will always be notified with a Letter of Guarantee (LoG). The LoG will advise of the amount we have approved. If it is a case in which we have time for fundraising the LoG will come when fundraising is complete.

  • Getting Paid
After treatment has been provided, fax IMOM a copy of the invoice. Invoices should always reflect any amount already paid by the owner and/or donations made from other organizations.

Payment will be made by check and sent via USPS usually within 10 days of receipt of the invoice. Funds will only be held for 45 days so it's important that you get your invoice to IMOM as quickly as possible.

  • References
IMOM has worked with well over 1000 veterinarians nationwide. They are all documented on an Excel spreadsheet.

In addition, we have letters of reference from veterinarians we have worked with.

If you would like to view the spreadsheet or the letters of reference, please send a request, written on your letterhead and we will be happy to send copies by email. Be sure to include your email address.

Our fax number is: 630-214-8952

PS - if you are a veterinarian we have worked with in the past, please consider faxing a letter of reference. It would be very greatly appreciated!
