Financial Aid - IMOM Policies

IMOM.org


IMOM cannot stress enough the importance of our written policies. Failure to comply to these policies can result in permanent closure of your case.

After reading these policies if you feel you cannot comply please do not ask IMOM for financial aid.


IMOM Policies

(1) Application submission:

(a)  IMOM is an Internet based corporation.  All applications must be submitted through our web site. Applications sent by fax or postal mail will not be accepted. 

(b)  Applications submitted by persons who do not qualify will be rejected without consideration.

(c)  Incomplete applications will not be accepted. When an application is received that is not complete the applicant will be notified to complete a new application.

(d)  If at any time information given on an application is found to be false or misleading the case will be closed immediately and the applicant notified of our action.  If IMOM has disbursed any funds toward veterinary care it is the responsibility of the applicant to repay those funds to IMOM.  Any pledged donation from IMOM will be withdrawn.

(e)  Once an application has been submitted, and a line of communication opened, you are required to reply within 24 hours. Failure by the applicant to reply will result in closure of the case and no further action taken by IMOM.

(f)  All correspondence with committee members will be accomplished through email to the appropriate committee's email address.

(g)  Applications submitted for General Fundraising and Emergency should be only for one-time care. 

(h)  If your application is approved, it will only be approved for the condition for which you have applied and the amount of funding originally requested.


(2) Supporting Documents:

It is the responsibility of the applicant to acquire all supporting documents to be faxed to IMOM prior to application submission.  It is not your veterinarians' responsibility to fax the documents previously outlined.


(3) The responsibilities of approved applicants:

(a) To write frequent updates in our CommunityUpdates are required as soon as you receive notification that your pet's PIN page is up on our site.  After that, a minimum of one post every third day is required until your case is closed. 

In addition to writing updates in the community, you are required to contact the committee with any changes or appointments scheduled with your veterinarian.  IMOM volunteers rarely have time to read your updates in the community.

Failure to provide updates will result in permanent closure of your file without prior notice.  Any funds pledged by IMOM, and any donations made to your pet will be redistributed to the appropriate general fund.

(b)  To send email correspondence to the proper email address to insure receipt by the entire committee.  Email should not be sent to a case worker's private email address. 
 
(c) To send a photo of the pet as an email attachment for inclusion in your pet's PIN page.

(d)  It should be clear to all applicants that "approval" of your application does not necessarily imply that IMOM will be in a position to offer monetary assistance.  Applicants may have to rely solely on donations made for their pet from IMOM supporters.

(e) We encourage you to raise funds on your own and contact other organizations offering financial aid to help with your pet's care. It is your responsibility to notify IMOM IMMEDIATELY if you are able to get funds in any amount from other sources. This is necessary so we can keep our donors informed as to how much money you still need to raise.

(f)  Approved applicants are required to notify their Committee by email when treatment for their pet has been scheduled.  Failure to do this may result in IMOM not being able to contact your vet in time to make any necessary arrangements for payment.


(4) Invoices and funds disbursement:

(a)  It is the responsibility of the applicant to advise their veterinarian that invoices must be received by IMOM not later than 45 days after treatment.  If the invoice is not received the case will be closed and all funds in the pet's account will be re-distributed to the appropriate general fund.

(b)  IMOM funds will be disbursed only to the veterinarian shown on the application, or to a pharmacy for medication.

(c)  If funding has been approved for your pet we can only pay the vet if there is a "balance due" shown on the invoice when we receive it.  If you have put the charges on your credit card, written a post dated check or used other means of payment we cannot send funds to the vet so he/she can reimburse you.

(d)  Any pledges made by IMOM and/or donations made to your pet will only be used for the medical condition stated on your application as "diagnosis".

(e)  IMOM will assist with the cost for euthanasia for an open PIN case, when there is enough money in the pet's fund.  IMOM cannot offer any financial assistance for cremation or other after death expenses.


(5)  Active cases:

(a)  It should be understood by all applicants to the that once the medical procedure for which you applied has been completed there will be no further fund raising on IMOM's web site for the pet.

(b)  Approved applications for cancer treatment will be for one round of treatments only.

(c)  General Fundraising Applications that have been approved will remain open for a period of 30 days or until the pet has been treated,  whichever comes first.  Periodically exceptions can be made.

(d)  Persons with open cases at IMOM are not permitted to take part in any special fund raising activities held by IMOM or to make donations to other Pets in Need until your case has been closed.


(6) Medical advice:

(a)  IMOM committee members are not veterinarians and under no circumstances will they offer medical advice.

(b)   Medical advice given by community members should always be confirmed by your veterinarian.  Never change or alter your pet's treatment without first consulting your veterinarian.


(7) The responsibilities of IMOM committee members:

(a) To process an application as quickly as possible after all necessary documents are obtained.

(b) To notify the applicant as to whether or not their application has been approved.  If the application is not approved the reason/s will be stated.

(c) To work closely with the applicant and answer any questions they might have pertaining to their application.

(d) To monitor the Community for your posts and to insure you are fulfilling your obligation to keep our donors and site visitors updated.

(e) To close cases in which the applicant does not carry out their responsibilities.


(8) Financial Aid Committee Guidelines:

The FA Committees have established guidelines to be used in determining when to approve or deny an application for financial aid.  Our decisions are based primarily on the following:

  1. Your qualifications

  2. Availability of IMOM funds.

  3. Urgency of your pet's need for veterinary care.

  4. Completeness of your application. 

  5. Your pet's prognosis and general health.

  6. Your promptness in replying to our correspondence to you concerning your application.


(9)  Closed Cases

(a)  When your pet has received the care IMOM approved for fund raising, and our portion of the bill is paid, your file will be closed.  There will be no remaining funds available.  Any money remaining in your pet's fund will be re-allocated where it's most needed at that time. 

(b)  If your case is closed for non-compliance, you may not re-apply
